Ownerless flows in Power AutomateFix ownerless and failing flows

Flows built by someone who has since left, failing quietly or about to break when their account is removed. We find them, fix them and make sure it does not happen again.

The problem

Why this keeps going wrong

Over the years, makers have built flows and apps under their own accounts. When they leave, their licence is removed and the flows stop, sometimes with nobody noticing until an invoice is unpaid or a report is empty. Connections expire, failures go to an inbox nobody reads, and there is no list of what exists or what each flow does.

Signs you need this

  • A process stopped working after someone left and nobody knew why
  • You get Power Automate failure emails you do not understand
  • Nobody can say how many flows and apps exist in your tenant
  • Important flows run under a personal account
  • IT is nervous about removing leavers' accounts in case something breaks

How we solve it

The approach, step by step

The same consultant scopes, builds and hands over. You see working software in your own tenant every week.

01

Inventory everything

We list the apps, flows, connections and owners across your environments, using admin tooling and the CoE Starter Kit where it helps.

02

Triage by business risk

Each item is classed as critical, useful or abandoned. Critical ownerless and failing flows are fixed first.

03

Fix and re-home

Flows are repaired, moved into solutions and re-owned by service accounts or shared ownership, with connection references so they survive staff changes.

04

Add monitoring and documentation

Failure alerts go to a monitored channel and each critical flow gets a one-page description of what it does and who to call.

05

Prevent the next round

We recommend simple governance: a leaver checklist, environment strategy and DLP policies. An optional care plan keeps things healthy.

Typical outcomes

What this pattern usually delivers

Typical ranges for this kind of work, not promises or results from a named client. Your own baseline is measured during scoping.

A complete inventory of apps, flows and owners, often for the first time
Critical flows moved off personal accounts within the first one to two weeks
Failure alerts routed to a monitored channel instead of a personal inbox
Leavers' accounts can be removed without breaking processes

Typical timeline: 1 to 3 weeks, with a working first version early so you can react to something real.

FAQ

Fix ownerless flows: common questions

What happens to Power Automate flows when an employee leaves?

Flows owned by a single user can stop when that user's account or licence is removed, and their connections stop working. Admins can reassign ownership, but it is better to move important flows into solutions owned by a service account before people leave.

Can you fix flows someone else built?

Yes. Most of this work is on flows we did not build. We document what each one does as we go, so you are not dependent on us afterwards either.

Do we need the CoE Starter Kit?

Not always. For smaller tenants the admin center and a few PowerShell or admin connector queries are enough. The CoE Starter Kit helps when there are many makers and environments.

What is a service account and do we need one?

A service account is a non-personal Microsoft 365 account used to own and run important flows. It usually needs a licence that covers the connectors it uses. We advise on the cheapest compliant setup.

Can you provide ongoing support after the fix?

Yes. The Care Plan, from £495 a month, covers monitoring, fixes and small changes with a block of hours that rolls over.
