Microsoft Access to Power AppsReplace a Microsoft Access database with Power Apps and Dataverse
An Access database that someone built years ago now runs an important process. We move the data to Dataverse and rebuild the forms as a Power App, so it is secure, multi-user and supported.
The problem
Why this keeps going wrong
Access databases often start as a clever fix by one person and grow into a business system. They live on a file share, struggle when several people use them at once, corrupt occasionally and depend on VBA that only the original author understood. Remote access is awkward, there is little security beyond who can open the file, and IT is wary of the dependence on a desktop application and an ageing file format.
Signs you need this
- The database lives on a shared drive and gets locked or corrupted when several people use it
- Staff cannot use it from home or on a phone without a remote desktop
- Forms, reports and macros depend on VBA that nobody can safely change
- Everyone with access to the file can see and change everything
- Backups and compaction depend on someone remembering to do them
- IT wants to move away from desktop Access as part of a Microsoft 365 or cloud strategy
How we solve it
The approach, step by step
The same consultant scopes, builds and hands over. You see working software in your own tenant every week.
Analyse the database
We review tables, relationships, queries, forms, reports and VBA with the people who use them, separating what the process needs from years of workarounds.
Model the data in Dataverse
Tables and relationships are redesigned in Microsoft Dataverse with proper keys, choices and security roles, so each person sees only the records and fields they should.
Rebuild forms and logic
Forms become a Power App, model-driven or canvas depending on the users. VBA logic moves to Power Fx, Dataverse business rules or Power Automate, documented as we go.
Migrate and verify the data
Data is cleaned, migrated and reconciled against the original, with record counts and sample checks signed off by your team before cut-over.
Replace the reports and hand over
Access reports become Power BI reports or Word and PDF outputs. You receive the managed solution, documentation and a recorded walkthrough, and the old database is archived read-only.
Typical stack

FAQ
Replace an Access database: common questions
Can Power Apps replace Microsoft Access?
For most business databases, yes. Dataverse replaces the Access tables with a secure cloud database, and Power Apps replaces the forms. Very complex VBA or heavy local reporting may need redesign rather than a direct copy, which we identify during analysis.
Is there a tool to convert Access to Power Apps automatically?
There is no tool that converts a whole Access application, including forms and VBA. Data can be moved with standard migration tooling, but forms, queries and logic are rebuilt. That is usually an advantage, because it removes years of workarounds.
Why Dataverse rather than SharePoint lists for an Access replacement?
Access databases are usually relational, with several linked tables and queries. Dataverse handles relationships, security roles and larger volumes far better than SharePoint lists. SharePoint can suit a very simple single-table database, and we will say so if that applies.
Will we need premium licences?
Yes, apps on Dataverse need Power Apps Premium, per-app licences or pay-as-you-go billing for each user. We give you the licensing cost in writing before any build, and our licensing calculator gives a first estimate.
How much does replacing an Access database cost?
Our Spreadsheet-to-App package, which covers most Access replacements, starts from £6,500 excluding VAT. The fixed price depends on the number of tables, forms, reports and VBA logic, and is agreed in writing before work starts.
